How to add storage location and setup instructions to a product
Every product has a Delivery Sheet tab where you record where it lives in your warehouse and how your crew should handle it. Fill it in once and the details print on the Delivery Sheet and Packing Slip of every order that includes the product.
Open the Delivery Sheet tab
The Delivery Sheet tab lives on the product edit page, next to Product Options, Disclaimer, and Related Products.
- Log in to io.partyrentalstudio.com and click Products in the top navigation.
- Click any existing product in the list to open its edit page.
- Scroll down to the row of tabs below the product details and click Delivery Sheet. You'll see two fields: Location and Instructions.
Note: The Delivery Sheet tab only appears on products that already exist. If you're adding a new product, save it with Add first, then open it from the Products list to fill in these fields.
Enter the storage location
Location is a short, single line that tells your crew where to find the item. Write it the way someone would walk to it.
- Building or unit: if you keep inventory in more than one place, start with the warehouse, container, or storage unit.
- Aisle, rack, and shelf: narrow it down to the spot on the floor, for example Aisle 3, Rack B, Shelf 2.
- Bin or tote: for small items, name the bin they're kept in so a new team member doesn't have to dig.
Tip: Use the same pattern for every product, such as Building, Aisle, Shelf. A consistent format lets anyone scan a printed sheet and head straight to the right spot without asking.
Write the setup instructions and save
Instructions is a free-form box for anything your crew needs to know when packing, delivering, or setting up the item.
What to include
- Setup steps: how to anchor it, which side faces the guests, roughly how long it takes.
- Power and space: how many blowers or outlets it needs and how much room to clear before unloading.
- What to pack with it: extension cords, stakes, sandbags, tarps, or a parts count for tables and chairs.
- Handling and care: items that must stay dry, need two people to carry, or should be wiped down before loading.
Save the product
- Type the details in the Instructions box. Write it as one or two short sentences rather than a list, because line breaks are not kept on the printed sheets.
- Click Save in the sticky header at the top of the page, or Save & Close to go back to the Products list. Both fields are saved with the rest of the product.
Note: These instructions belong to the product, so they print on every order that includes it. For something that applies to one order only, such as a gate code or a special request, use the note on the order line item instead.
Check the Delivery Sheet
The Delivery Sheet exists so you can hand a printout to your crew without sharing your numbers. It covers one order and lists what to load, where each item is stored, and how to set it up, with no prices, totals, or balance anywhere on the page. The invoice stays with the office. The Delivery Sheet goes on the truck.
- Click Orders in the top navigation and open any order that includes the product.
- Click Delivery Sheet at the top of the order page. The sheet opens in a new tab as a PDF you can print or save.
- In the items table, the Locations column shows the storage location you entered. Your instructions appear on their own line directly under the product name.

Note: A product with no location shows -- in the Locations column, and the instructions line is skipped when the box is empty. To print a message on every Delivery Sheet regardless of product, such as a loading checklist, use Delivery Sheet Note under Settings, then Invoice.
Check the Packing Slip
The Packing Slip (printed as the Packing & Dispatch Sheet) covers several orders at once, so your warehouse team can pull everything for the day in one pass.
- On the Orders page, filter to the orders you're preparing, for example by status or date range.
- Click Packing Slip in the toolbar. The sheet opens in a new tab with one card per order.
- Under each item, look for Warehouse Location and Setup Instruction. Both come straight from the product's Delivery Sheet tab.
Print Options
The checkboxes at the top of the sheet control which details print. Warehouse toggles the location line and Instructions toggles the setup line.
- Uncheck either one for a leaner sheet, for example when the loading crew only needs locations.
- Your choices are saved to your account, so the next Packing Slip opens with the same options.

Note: When 15 or more orders are in scope and no date range is applied, you'll be asked to pick one (Today, This Week, Next 7 Days, and so on) so the sheet stays a manageable length.
