How to add setup items to your products
Setup items are the things your crew brings to set a product up: blowers, cords, stakes, sand bags. List them once, add them to the products that need them, and they print as a checklist under each product on the Packing Slip and the Delivery Sheet, matched to the order's setup surface.
Before you start
- Setup items are added on a product's edit page, so the product has to exist first. The form for a new product doesn't have them.
- They are a packing checklist, not inventory. There is no stock count, and they never make a product unavailable.
- They follow each order's setup surface. If Hide surface type on checkout is on (Settings, then Storefront), your orders don't carry a surface: every setup item prints on every order and the surface choices don't appear, so skip Steps 2 and 4.
- Combos don't have setup items of their own. Add them to the products inside the combo and they print under those products.
Create your Setup Items list
Your setup items live in one list for the whole business. Add each item once, and every product can use it.
- Click Products in the top navigation, then Setup Items in the row of links under it.
- Click Add Setup Item.
- Type a Name, for example 1.5 HP Blower. Each name can only be used once, however it's capitalized.
- Leave Prints on by default on All surfaces for now. Step 2 covers it.
- Click Add Setup Item to save it. Add 50 ft Extension Cord and Ground Tarp the same way.
Choose the surfaces each item prints on
Every order has a setup surface, picked when the order is placed: Grass, Concrete, Indoor and so on. Prints on by default decides which of those surfaces an item prints on.
- All surfaces: the item prints on every order. Use it for things every job needs, like the blower and the extension cord.
- Only these surfaces: the item prints only when the order's surface is one you picked. Hook stakes belong on grass, sand bags on concrete.
- Click Add Setup Item and name it Hook Stakes.
- Under Prints on by default, choose Only these surfaces.
- Click each surface the item belongs on. Picked surfaces turn green: here Dirt/Dry Grass, Grass, Loose Ground and Mulch.
- Click Add Setup Item. Then add Sand Bags the same way, on Asphalt and Concrete.
| Name | Prints on by default | Used on | |
|---|---|---|---|
| 1.5 HP Blower | All surfaces | Not used yet | |
| 50 ft Extension Cord | All surfaces | Not used yet | |
| Ground Tarp | All surfaces | Not used yet | |
| Hook Stakes | Dirt/Dry Grass, Grass, Loose Ground, Mulch | Not used yet | |
| Sand Bags | Asphalt, Concrete | Not used yet |
Note: To change an item later, click its name, or choose Edit from the menu at the end of its row. If products already use it, the dialog says how many will follow the change before you save.
Add setup items to a product
Each product gets the items it needs, with how many go out with one of it.
- Click Products in the top navigation and open the product, here 15ft Castle Bounce House.
- Click the Setup & Storage tab. Setup Items sits below Storage Location and Setup Instructions, which have their own tutorial.
- Click Choose setup items and tick each item the product needs. A row appears as you tick each one. In a long list, type in the search box to find an item. Click Done.
- Set the Qty on each row: how many go out with one bounce house. Here, 4 hook stakes and 4 sand bags.
- Click Save or Save & Close at the top of the page.
Something missing from the list?
Click Add new... next to the dropdown. In New Setup Items, type a name and press Enter to start the next row, set Prints on by default on any row that needs it, then click Create & Add. The new items join your Setup Items list and this product in one go.
Copying from a similar product
Once another product has setup items, Copy from another product… appears above the list. Pick the product and click Copy. Items already on this product are skipped.
Heads up: Ticking items only changes this page. They are saved with the product when you click Save, so leaving without saving drops them. Items made with Add new... stay in your Setup Items list either way.
Give one product its own surfaces
Sometimes one product needs an item on different surfaces from everything else. A pop-up canopy at an indoor event needs sand bags on its legs, where stakes can't go.
- Open 10x10 Pop-Up Canopy, click Setup & Storage, and add Sand Bags with Choose setup items. Set the Qty to 4.
- Click Edit on the Sand Bags row.
- Choose Custom surfaces for this product and click Indoor to add it to Asphalt and Concrete.
- Click Save in the dialog, then Save at the top of the page.
Note: To undo it, edit the row again and choose Use the default. On the Setup Items page, the Used on column now reads "2 products · 1 custom" for Sand Bags.
Check the printouts
Setup items print as a checklist directly under each product, A to Z, so the crew can tick them off as they load the truck.
On the Delivery Sheet
- Click Orders in the top navigation and open order #10482, which is set up on Grass.
- Click Delivery Sheet at the top of the order. Under the bounce house, the SETUP ITEMS checklist shows the blower, the cord and 4 hook stakes. The sand bags are left off, because this order is on grass.
Quantities multiply by the order: an order with 2 bounce houses prints 2 blowers and 8 hook stakes.

On the Packing Slip
- On the Orders page, narrow the list to the day and click Packing Slip. Each order card lists setup items under its products the same way.
- Setup Items under Print Options shows or hides them, and the choice is saved like the other options. It only appears when something on the sheet has setup items.
When an order has no surface
Items set to All surfaces still print. Items limited to certain surfaces can't be matched, so they're left off and the order shows a Surface not set note naming them. The Delivery Sheet header also reads Surface: Not set. Set the surface on the order and print again.

Setup item questions
The things people ask once their first checklist prints.
Do setup items count against my inventory?
No. They have no stock count and never make a product show as unavailable. Think of them as a packing checklist for the crew.
Can my customers see setup items?
No. They print only on the Packing Slip and the Delivery Sheet, which are for your team. They don't appear on your website, the invoice or customer emails.
What prints when an order has no surface?
Items set to All surfaces print as usual. Items limited to certain surfaces are left off, and the order gets one Surface not set note naming the products and the items that were skipped. Set the surface on the order and print again.
If I change an item's default surfaces, what happens to my products?
Every product that follows the default changes with it, and so do reprints of orders you already have. Products with custom surfaces for that item keep their own. The Edit dialog tells you how many products will change before you save.
What happens if I rename or delete a setup item?
A new name shows on every product and printout right away, including reprints. Deleting removes the item from every product that uses it. The dialog tells you how many products first, and it can't be undone.
Do combos have setup items?
Not of their own. Each product inside the combo prints its own setup items under it, so add them to those products.
Can a product list the same setup item twice?
No. Each item appears once per product. Use the quantity when the product needs more than one.
Can I leave setup items off the Packing Slip?
Yes. Uncheck Setup Items under Print Options at the top of the Packing Slip. The choice is saved to your account like the other print options. The Delivery Sheet always lists them.
