Why Your Delivery Crew Needs a Delivery Sheet, Not a Copy of the Invoice

Load-out day runs on two things your crew can't get from an invoice: where every item lives and how it goes together. Here's what changes when both print on every order automatically, with none of your pricing attached.

Every rental operator knows the 6 AM version of this. The truck is half loaded. One crew member is walking the aisles looking for the tent sidewalls. Another is texting you to ask whether the castle bounce house takes one blower or two. The driver has a folded invoice in his pocket because it was the only paperwork anyone printed. Nothing is technically wrong. It is just slow, and it depends entirely on the people who already know where everything is.

Most rental warehouses are organized just fine. The problem is that the map exists only in the heads of the two or three people who built it. When one of them is off, or when you add a seasonal crew in May, load-outs slow down and mistakes creep in. Not because the crew is careless, but because the information they need was never written anywhere they would see it.

Every unit has its quirks. This one needs a 1.5 HP blower and a 50 ft cord. That one has to be staked on grass and sandbagged on concrete. The banquet tables go eight to a cart and get wiped down before they leave. Experienced crews know all of it. New crews learn it the expensive way, one forgotten cord and one return trip at a time.

The Instructions box on the same Delivery Sheet tab captures that knowledge on the product itself. Whatever you write there prints under the item on the Delivery Sheet and on the Packing & Dispatch Sheet, on every order, automatically. Setup steps, power needs, what to pack alongside it, how to handle it. Written once by the person who knows, read every time by the person doing the work.

This is different from an order note. Order notes are for the one-off: a gate code, a late arrival, a request to set up around the side. Product instructions are for the things that are true every single time. Keeping them on the product means they never get skipped because someone forgot to retype them.

Fewer return trips. The most common reason a crew drives back to the warehouse is a missing accessory: cords, stakes, sandbags, tarps. A packing line on the sheet is the cheapest fix there is.

The print options at the top control what appears on the sheet, and your choices are saved to your account. A loading crew that only needs locations gets a leaner sheet every time, without anyone resetting it. Filter the orders list to today or this week first and the sheet covers exactly the jobs on the truck.
